The Short Answer

  • Use Card Saver I semi-rigid holders — PSA, BGS, SGC, and CGC all require these. Top loaders and screw-down cases are rejected.
  • Double-wrap with bubble wrap — 2-3 layers around the card stack prevents movement and absorbs impact during shipping.
  • Include printed invoice inside the package — One copy inside with cards, one taped outside the box for delivery confirmation.
  • Insure at declared value — $1 per $100 value is standard. $5,000 submission = $50 insurance minimum.
  • Ship with tracking and signature — All major graders require adult signature confirmation for delivery.

How Do You Pack Cards for Grading?

5 Steps to Perfect Packing
Sleeve → Semi-Rigid → Stack → Wrap → Box
Never use top loaders — all major graders reject them

Proper packing is the #1 preventable cause of grading submission problems. Cards damaged in transit are returned ungraded. Cards packed in top loaders or screw-down cases are rejected outright. This guide shows the exact method used by thousands of collectors to ship cards safely to PSA, BGS, SGC, and CGC.

Required Packing Supplies

All four major grading companies (PSA, BGS, SGC, CGC) require the same packing method. Here is what you need:

Supply Purpose Est. Cost
Penny Sleeves Protects card surface from scratches $0.01/card
Card Saver I Semi-rigid holder — required by all graders $0.25/card
Bubble Wrap Shock absorption — 2-3 layers minimum $0.50/submission
Cardboard Box 200# test corrugated — prevents crushing $2-5/box
Packing Tape Reinforced shipping tape on all seams $0.25/use
Fragile Labels Optional — alerts handlers to care $0.10/label
Total (10 cards) $5-8

Where to Buy: BCW Supplies and Ultra Pro are the industry standards. Amazon also carries these supplies but verify seller ratings to avoid counterfeit products.

The Proven Packing Method (Step-by-Step)

Step 1: Penny Sleeve Each Card

Slide each card into a clean penny sleeve with the opening at the bottom (not the top). This prevents the card from sliding out during handling. Use new sleeves — old or dusty sleeves can transfer debris to the card surface.

Step 2: Insert Into Card Saver I

Place the sleeved card into a Card Saver I semi-rigid holder. Card Saver I is the original "semi-rigid" — thinner and more flexible than a top loader. This is what PSA, BGS, SGC, and CGC require. Do NOT use:

  • Top loaders — too rigid, graders reject these
  • Screw-down cases — can damage cards, universally rejected
  • Magnetic one-touch holders — not accepted for submission

Step 3: Stack in Invoice Order

Arrange the Card Savers in the exact order they appear on your printed invoice. This makes intake faster for the grading company and reduces data entry errors. Place a rubber band around the stack — loose enough to not bend cards, tight enough to keep them together.

Step 4: Bubble Wrap (2-3 Layers)

Wrap the entire stack in bubble wrap. Use small-bubble wrap (3/16-inch bubbles) — large bubbles can allow too much movement. Two complete wraps around the stack is the minimum. Three layers is ideal for high-value cards ($500+ each).

Step 5: Place in Sturdy Box

Use a box rated 200# test corrugated cardboard minimum. The box should be just large enough for the wrapped stack plus 2 inches of filler on all sides. Fill empty space with:

  • packing peanuts
  • Crumpled newspaper
  • Additional bubble wrap

Goal: The wrapped card stack should not move when you shake the box.

Step 6: Include Invoice & Seal

Place one printed invoice inside the box with the cards. Tape one invoice copy to the outside of the box in a clear document pouch (or ziplock bag taped to box). Seal all seams with reinforced packing tape. Do not use duct tape or masking tape — they fail in temperature changes.

Shipping to PSA, BGS, SGC, and CGC

Each grading company has slightly different shipping addresses and requirements:

Company Shipping Address Requirements
PSA 1921 E. Alton Ave, Santa Ana, CA 92705 Signature required, Card Savers only
BGS Beckett Grading Services, Dallas, TX (check website for current) Card Savers preferred, top loaders accepted
SGC Sportscard Guaranty, 106 Park St, Montville, NJ 07045 Card Savers or team bags
CGC Certified Guaranty Company, Sarasota, FL (check website) Card Savers required

Recommended Carriers:

  • USPS Priority Mail — Best for most submissions, includes $100 insurance, tracking included
  • FedEx Ground — Better for high-value submissions ($2,000+), more reliable handling
  • UPS Ground — Alternative to FedEx, similar reliability

Never use: USPS First Class (no insurance), standard envelopes (will be destroyed), or uninsured shipping of any kind.

Insurance & Declared Value Guide

Insurance protects your investment if cards are lost or damaged in transit. Here is how to calculate the right amount:

Insurance Formula

Insurance Cost = Declared Value ÷ $100 × $1

Examples:
• $500 declared value = $5 insurance
• $2,000 declared value = $20 insurance
• $5,000 declared value = $50 insurance
• $10,000 declared value = $100 insurance

Declared Value Rules:

  • Must match your PSA/BGS submission form — discrepancies trigger upcharges or claim denial
  • Use recent auction comps — not eBay Buy It Now listings (inflated)
  • PSA Auction Prices and Heritage Auctions realized prices are the gold standard
  • When in doubt, declare slightly higher — under-insuring is riskier than over-insuring

What Happens If Cards Are Lost:

  • File claim with shipping carrier (USPS, FedEx, UPS) using tracking number
  • Provide declared value documentation and submission invoice
  • Carrier investigates (typically 2-4 weeks)
  • If approved, carrier reimburses declared value (minus deductible)
  • If carrier denies claim, file secondary claim with PSA's insurance (if applicable)

Pro Tip: For submissions over $5,000, consider splitting into multiple packages. This reduces single-package risk and may lower total insurance costs. Read our hidden costs guide for more money-saving strategies.

Common Packing Mistakes to Avoid

Mistake Why It Is Bad Correct Method
Using top loaders Too rigid — PSA/BGS/CGC reject these, return ungraded Use Card Saver I semi-rigid holders
Screw-down cases Can damage card surface and edges permanently Never use — graders ban these entirely
Plain envelopes Zero protection — cards bend and get damaged Use rigid cardboard box minimum
No invoice inside Processing delays — graders can't match cards to submission Always include printed invoice inside package
Under-insuring Lost package = partial or no reimbursement Insure at full declared value ($1 per $100)
Loose cards in box Cards shift and bang into each other — edge damage Secure with rubber band + fill all empty space
Dirty sleeves Dust/debris transfers to card surface Always use new, clean penny sleeves
Tape on cards Residue damages card surface permanently Never put tape on or near cards

International Shipping Guide

International submissions require additional documentation and longer shipping times:

Required Documentation

  • Customs declaration — Describe as "Trading cards for professional grading service, to be returned"
  • Commercial invoice — Required for Canada, UK, EU, Australia
  • Return shipping label — Pre-paid return label from PSA/BGS for expedited return
  • Import/export permits — Required for cards over 100 years old (CITES/antiquities)

International Carriers

Carrier Transit Time Cost (est.) Best For
FedEx International Priority 3-5 days $75-150 High-value submissions ($2,000+)
DHL Express 4-7 days $60-120 Reliable mid-range option
UPS Worldwide Saver 5-7 days $55-110 Good insurance options

Tax Considerations: Some countries charge import duty on the declared value of cards entering for grading. PSA offers an "in-bond" service for some countries where cards are not technically imported. Check with PSA international services before shipping.

Alternative: Use a US-based submission service or grading group. Companies like Grading Group and Card Grading UK accept international cards and handle US forwarding — often cheaper than direct international shipping for small submissions.
